An employee recognition calendar is a document that maps out key appreciation moments, holidays and awareness themes by month, providing structure for recognising your people consistently throughout the year.

It can be a simple shared spreadsheet, or an interactive PDF, whatever works for you and your workflow as long as you use and reference it consistently.

It's also important that you make it unique and personal by tying key moments to company values.

Why Do You Need a Recognition Calendar?

One of the hardest parts about recognition is doing it consistently, especially during busy periods. This is usually when the culture of appreciation that you've worked so hard to build falls apart. Managers get too busy to remember, employees are working in silos to meet a deadline, and recognition becomes the last thing on anyone's mind.  

It's not because companies don't care, they just lack structure. Having a dedicated recognition calendar helps solve that problem by giving you a fixed schedule you can follow each month. How to Build a Recognition Calendar

Once you have some idea on what key dates you should include in your calendar, it's time to put it together.  

Step 1: Map your must-have dates

You can start with the dates we outlined above, but don't forget to add in events and holidays unique to your organisation. Also note down a few ideas of how you can celebrate and recognise your people for specific occasions to make it relevant and personal.

Step 2: Estimate budget

Decide how much you're able to spend on recognition activities. Think about reward budgets for specific occasions, any costs tied to the platform you use and how team size affects overall spend.

Step 3: Assign owners

Recognition isn't the sole responsibility of HR. Yes, they can handle company-wide celebrations, but managers and leadership need a role too. Managers can own day-to-day and team-level recognition, while leadership can take the lead on work milestones and achievements.

Step 4: Start actioning your recognition calendar

Don't wait too long before putting your calendar into motion, or you risk it becoming another document sitting in a shared folder untouched. Be proactive on securing approval internally, get your CFO to sign off on budget and schedule your rewards for approaching dates.
